Scope of services

This is included in every subscription

The annual financial statements and the tax return are included in the subscription rather than charged as extras, and so is the licence for the accounting software. Open each line to see what it includes.

  • Posting of receipts

Ongoing posting of your receipts, monthly or quarterly.

  • Account reconciliation

Bank and balance reconciliations, properly documented.

  • Balance sheet, income statement and notes

Annual financial statements under the Swiss Code of Obligations (OR), including closing entries.

  • Tax return

Included in the subscription for GmbH and AG.

  • Software licence

The accounting software is included in the price.

  • VAT return

Filed on time, including the annual turnover reconciliation.

What outsourcing actually shiftsThe term is often used and rarely explained. Four sentences on what ends up with us, what stays with you and what you continue to see yourself.

Moving to us: the execution

Posting receipts, reconciling accounts, calculating salaries, filing VAT returns, preparing payments, producing the annual accounts and the tax return. In other words, everything that has deadlines and that nobody enjoys.

Staying with you: the decisions

Which invoice is paid when, which investment is made, which salary goes up: you decide. We present the figures and tell you what we notice.

Together: the exceptions

An unusual business transaction, a restructuring, a letter from the tax office. In those cases we call you, rather than posting something and hoping for the best.

You still see everything

The accounting software belongs to you, and we work in it. You see the same status as we do at any time, not only when we send you something.

Outsource partly or completely? Not everyone has to hand over everything. The question is where the dividing line lies and what it means in everyday work.

Who records the receipts

Partly

Your office assistant continues to record them. We check and correct.

Completely

We record them. You forward invoices and receipts digitally, nothing more.

Payments to suppliers

Partly

You record and approve them.

Completely

We prepare the payment runs, and you give the approval in your e-banking.

When someone is absent

Partly

The accounting is left until the person is back.

Completely

Nothing is left lying. Deadlines are met regardless of your staffing plan.

Internal effort per month

Partly

A few hours, depending on the volume of receipts. Plus the time for queries.

Completely

Forwarding receipts and approving payments. Usually less than an hour.

What it costs

Partly

No subscription, but billing by time spent for checks and corrections. A fixed price is not possible this way, and if there are many errors, it becomes more expensive than the full subscription.

Completely

More in the subscription, but the amount is fixed in advance and the topic disappears from your desk.

Who it suits

Partly

When someone in-house knows how to do the accounting and enjoys it.

Completely

When nobody can do it, nobody likes it, or the time is worth more elsewhere.

Prices

Fixed prices instead of surprises

A fixed amount, with all services clearly defined. The subscription covers what recurs; one-off special cases are charged by time spent, and we tell you the price beforehand. You can work out your exact amount in 2 minutes with the price calculator.

A small business? Choose and Basic costs CHF 870 a quarter, which is CHF 290 a month.

All prices exclude VAT · The exact amount depends on the volume of receipts, the number of employees and the scope of services.

Which tier suits youThe tier depends on the volume of receipts, the number of employees and how much we take on. Four typical pictures to help you see where you fit.

Basic

CHF 290 per month, CHF 870 per quarter

You have few receipts, and posting once a quarter is enough for you. In that case, we post quarterly and charge the amount per quarter, with the VAT return, the annual financial statements, the tax return and the software licence.

Basic+

from CHF 590 per month

You run a GmbH or AG with up to three employees, write your invoices yourself and have a manageable pile of receipts each month. Salaries are paid regularly, without a collective labour agreement (GAV) and without tax at source (Quellensteuer).

Pro

from CHF 990 per month

You employ a team, supplier invoices and payment runs should disappear from your desk, and you would like to see quarterly figures that you can actually work with. This is the tier we recommend.

Enterprise

On request

Several companies, foreign currencies, a point-of-sale system or more than ten employees. In that case, we do not calculate according to a scheme but look at your business and make you a quote based on it.

Not sure where you will land? The price calculator assigns your details to a tier in 2 minutes, without obligation and without entering an address.

What is not included in the subscriptionA fixed price is only a fixed price if it is clear where it ends. We charge for this work separately and tell you the price before we start.

One-off special cases

Restructurings, unusual business transactions and special reports that arise once and do not recur. We quote for them individually, at CHF 120 to 180 per hour.

Assistance with audits and inspections

If the social insurance office (SVA) comes for an audit or the Federal Tax Administration (ESTV) for an inspection, we compile the documents, answer the questions and review the objections. We charge for this by time spent.

Private tax advice

The subscription covers the tax return of your GmbH or AG. We charge separately for your private tax return, together with the questions that go with it: pensions, real estate, shareholdings.

Catching up on previous years

If something is still outstanding when you switch to us: late entries, incomplete accounts, a period that has not been closed. You find out the price before we start.

CFO services

Budget, liquidity planning, bank meetings and the preparation of meetings of the board of directors (Verwaltungsrat) are handled through CFO as a Service.

See CFO services

Your own industry software

You continue to pay the licence and support for your ERP or industry software yourself. The licence for the accounting software, on the other hand, is included in the subscription.

What a fixed price gives youPredictable costs, no need to build up in-house expertise and no surprise at the end of the year.

Predictable costs

One amount per month instead of hourly invoices that nobody can predict.

No need to build up in-house expertise

You do not have to train anyone or arrange holiday cover.

Grows with you

If the volume of receipts or your staff increases, we change the tier, without any contractual drama.

No surprise at the end of the year

The annual financial statements and the tax return are included in the subscription, not extra items.

How the switch works

The first 30 days

It takes around a month from the decision to business as usual. This is what that month looks like, so that you know what to expect and when it is over.

  1. Access and records

You give us access to your accounts; in bexio, that is a single tick box. We collect the records from your previous accountant, and we tell you what we find.

  2. Cut-off date and opening balance

We agree the date from which we take over, reconcile the opening balance sheet and clear up the open items. During the year, the end of a quarter is the cleanest break.

  3. Business as usual

Your accounting is up and running. You forward receipts and approve payments; you can see everything else in the software.

bexio dashboard with demo data: revenue per month, cash inflows and outflows, and open receivables
User settings in bexio with the entry «Treuhänder einladen und verwalten» (invite and manage your accountant)
Week by weekThe four weeks one by one: access and records, cut-off date and opening balance, defining the routes, business as usual.

Week 1: access and records

We are given access to your accounts and look at what is there: chart of accounts, VAT method, open items, wage types. You hear from us what we find.

Week 2: cut-off date and opening balance

We agree the date from which we take over, reconcile the opening balance sheet and clear up the open items. The cleanest break is the end of the year, during the year the end of a quarter.

Week 3: defining the routes

How receipts reach us, who receives which report, who your contact person is and who the deputy is. After that, nobody needs to think about it any more.

From week 4: business as usual

Your accounting is up and running. You forward receipts and approve payments; you see the rest in the software, and in a conversation with us if something unusual comes up.

Three starting points, one goalYour accounting runs on bexio and we keep it, whether you already work with bexio, switch to it completely or keep your industry software.
  • Right away

    You already work with bexio

A single tick box in bexio is all it takes: you give us accountant access, and we take over without interruption. You carry on working as before. In parallel, we build up your permanent files and gather the records of the last five years, so that you are not left empty-handed if there is an audit.

  • First invoice after one week

    You switch completely to bexio

If you are coming from another system, we set up bexio within a week to the point where you can send your first invoices. We build up the rest afterwards. We also transfer large volumes of data with our own import and automation tools.

  • No change of system

    You keep your industry software

You keep your industry software. We synchronise your invoices to bexio and keep the accounts there. For you, bexio becomes a dashboard: you can see where your figures stand at any time without giving up your usual processes.

Questions and answers

Frequently asked questions

What exactly does outsourced accounting mean with you?

It means that the execution moves to us and the decisions stay with you. We post, reconcile, calculate salaries, file the VAT returns, prepare payments and produce the annual accounts and the tax return. You approve payments and make the business decisions. What we do not do is copy your accounts into a system of our own and send you a PDF once a year. The software belongs to you, we work in it, and you see the same status as we do at any time.

Do we lose control over our figures?

No, in practice the opposite tends to be the case. Anyone who does the accounting on the side often only has it complete in March of the following year. With us, it is updated continuously, and you can see it yourself at any time. In any case, it is you who approves payments, in your own e-banking.

How do you handle our data?

It stays in your own account with the accounting software. We work in it with our own accountant access and do not take anything out. We keep everything we learn in the process confidential, as contractually assured in section 3 of our general terms and conditions (AGB), also after the end of the mandate. We process personal data in accordance with the revised Federal Act on Data Protection (revDSG). Which service providers are involved and where they are based is set out in our privacy policy.

What happens to our data if we terminate?

It stays where it is: in your own bexio. bexio belongs to you, we only work in it, so there is nothing to retrieve and no migration back. After termination, we remove our access, and you take over the bexio licence directly with bexio. Your employee or your new accountant carries on where we left off, and we hand over the current deadlines and open points in writing. You can terminate in writing at any time. If we terminate, we still complete whatever is reasonable and cannot be postponed, so that you suffer no damage (section 10 of our general terms and conditions, AGB). Keeping the business records and receipts is your company’s responsibility, for 10 years (Art. 958f CO).

Is the monthly amount a fixed price or a payment on account?

A fixed price. The amount is set in advance, the annual financial statements and the tax return are included, and there is no additional invoice at the end of the year. We do not charge extra for individual peaks. If your business grows permanently beyond the tier you have booked because more receipts or more staff are added, we get in touch before it turns into an invoice and move to the next tier together. We charge work outside the subscription by time spent and tell you the price before we start. In addition, there is a one-off charge for setting up and taking over your accounting, by time spent, usually CHF 500 to 1,000.

Is there a minimum term?

No. The subscription is a simple mandate (Auftrag) under the Swiss Code of Obligations, and either party can terminate it in writing at any time. Only a party that does so at a particularly inopportune moment for the other side owes compensation under Art. 404 para. 2 CO, and that is the law, not a clause of ours. Even so, it makes sense to think in years or on a rolling basis: the annual accounts and the tax return fall due at the end of the year and are already included in the monthly amount. Anyone who leaves in the middle of the year has paid for them proportionately without receiving them. The flat fee runs until the end of the month that has begun, and there are no refunds. This is set out in section 10 of our general terms and conditions.

Is the software licence really included?

Yes. The licence for the accounting software is part of the subscription. You keep your own ERP or industry software for invoices and item master data separately.

What does it cost if we hire more employees?

It is not a flat amount but depends on the type of wage. The base fee and the first person are included in the subscription. For each additional person, we charge CHF 25 a month for a monthly salary and CHF 30 for an hourly wage, plus CHF 35 for each person subject to tax at source (Quellensteuer), because each of these involves more work. An industry fund (Branchenkasse) or a collective labour agreement (GAV) costs CHF 30 per month for the whole business, regardless of headcount. The fourth person therefore does not automatically mean Pro: which tier fits depends on the overall picture of receipt volume, wage types and scope. You can calculate the amount for your case in the price calculator, or we will tell you in the initial meeting.

Can we start in the middle of the year?

Yes. Starting at the end of a quarter is cleanest, because the VAT return has then been completed. We take over the opening balance sheet and reconcile the open items.

What do you charge in addition to the subscription?

Whatever arises once or is a separate mandate. We quote for one-off special cases such as restructurings and special reports individually, at CHF 120 to 180 per hour. If the social insurance office (SVA) comes for an audit or the Federal Tax Administration (ESTV) for an inspection, we charge our assistance by time spent. Your private tax return and catching up on previous years are also charged separately. Budget, liquidity planning and bank meetings are handled through CFO as a Service. You continue to pay the licence and support for your own industry software yourself. We tell you the price before we start.
